Pigu Perku Group – Optimizing the Task Planning Processes

Let’s continue the journey into Teamhood customer experiences with a fresh story from the Pigu Perku Group. We had a chance to chat with their HR manager, Egidija Rebždytė, and the head of marketing, Kamilė Gisakaitė, both of whom are pioneering the use of Teamhood within their company.  

Here is what they had to share about their experiences and process management. 

About Pigu Perku Group

Pigu Perku Group is a company that provides goods forwarding, cargo transportation, and storage services. The main business of the company is providing transportation services for clients who want to purchase goods from European and Japanese e-shops.  

Clients of Pigu Perku Group can purchase the goods themselves and then utilize the storage and transportation facilities of the company or use the service where the company also purchases the selected goods. Thus, providing a full service from purchase to delivery. 

The internal processes of the company range from marketing efforts to storage facility management, business client relations, sales processes, accounting, hiring processes, and more. For this, the company uses multiple systems to manage all their daily activities.  

Why Teamhood?

Pigu Perku Group first approached Teamhood with the goal of making task planning and management easier. Before finding a unified solution, each team used their own tools/systems. In some cases, all of the task planning and management was done through emails or even handwritten notes, which was hard to track and communicate across departments.

Previously, each team used different tools for task planning and management. We wanted to simplify this process, hold all data in one place and become more effective.

The company handles quite a large amount of data daily, and such misalignment between teams eventually became too ineffective. At this time, Tomas Bacys, the CEO of Pigu Perku Group, was the one to initiate the use of Teamhood. After comparing several other options, Teamhood stood out due to the selection of languages available within the tool itself.

We are an international company with team members who speak various languages. We are also currently planning on expanding our services to new markets. Thus, the option to select between different languages was very important to us.

What Changed in Your Process?

At the moment, Teamhood is being slowly introduced to the whole company. This was a conscious choice in order to make the full transition easier and smoother. The first to use the solution were the heads of each department and the marketing and HR teams. As the initial implementation phase is over, Pigu Perku Group is working with the Teamhood team to train and onboard other teams as well. 

Kamilė Gisakaitė says that Teamhood helped her understand her team’s workload. Without a clear system, it was hard to see who had the capacity to take on new tasks. Now, Teamhood holds all of the information on which tasks have been completed, what is in progress, and what tasks are already planned for each of her team members. The tool allows her to schedule and plan work with confidence that it can be completed on time.

After starting to use Teamhood, we can now see all of the team tasks in one place. It became easy to understand the workload of my team members and delegate new work accordingly.

Egidija Rebždytė shares that before Teamhood, most of the team members would write down their tasks in notebooks or post-it notes. Everyone had their own system, and more often than not, information got lost within those notes. Now everything is in Teamhood, making it easy to find and track each task as it is being worked on.  

She also finds that sharing information regarding employee hiring, incentive programs, and similar HR processes has become infinitely easier. There is no longer a need to go personally to talk to each department head as she can communicate important information through Teamhood.

With Teamhood, it is easier to manage the hiring process. I use it to store information about the candidates, attach important interview files, and share my progress with other department heads.

Marketing Team’s Workspace

The Teamhood setup in the marketing team is based on categorizing tasks into 2 types – Weekly must-do’s and personal tasks.  

The weekly must-do’s hold the tasks that are completed each week by the whole team, while the personal tasks of each team member are held on separate personal boards. This board is further divided into rows to help categorize the different marketing initiatives the team is working on – social media campaigns, google ads, new content, events, etc.

The team also uses different boards to track the personal tasks of each of her team members. As the team leader, Kamilė uses the watcher feature so that she is notified about the progress and any changes to each task. The personal boards help evaluate how busy each of the team members is and then plan any additional work accordingly.

We use item card colors to differentiate the urgency of tasks. This way, I can quickly identify what needs to be done first and which items can wait.

HR Workspace

The HR manager, Egidija, uses Teamhood to communicate tasks and share related information with other employees and team leaders. For this, she set up her Teamhood workspace with different boards to represent separate departments – marketing, accounting, and others.  

To track the information from all of the boards, Egidija uses the timeline view. This way, she can easily see what needs to be done each day. And the time sheet report gives her insights into how much time she and others have spent on their tasks.

According to Egidja, it has become easy to share information and delegate tasks; now, each team leader can be in the loop on what is happening with a new hire or a current employee.

There is no more need to go to a different department or storage facility when I have a new task or information for them. I simply put everything on Teamhood and add my colleagues as watchers for that item.

Favorite Teamhood Features

When asked about their favorite Teamhood features, both the Pigu Perku Group representatives agreed on the ability to change the item colors. In both teams, this feature is used to prioritize items and quickly identify how urgently they should be completed. They also use the option to rearrange items within the status group and use it to put the most important work at the top of the board. 

Another capability that was mentioned was the option to add people as item watchers. It helped minimize redundant communication and allowed all interested parties to track important information with ease.  

When asked if they had any advice for other Teamhood customers, Egidija suggested contacting the support team when in doubt.

If I have one piece of advice for other Teamhood customers, it’s to contact support when in doubt. Several times, we thought there was no way something could be done with Teamhood, and after contacting the support team, we found it was easily done.

Any time we reach out, we get a nice and prompt reply as well as a solution to our problem.
