Getting Started with Teamhood

Welcome onboard, dear Teamhood user. First week is the most crucial in order to succeed with the new shiny tool. Based on best practices identified by our champion customers we have prepared a short step-by-step guide to get you on the track fast.

Checklist for what you need to do to succeed with Teamhood.

1. Teamhood structure explained

Here are the key elements which you will use to build your projects or team workflows in Teamhood:

  • Workspaces – use them to group people or projects in “folder-like” approach. User access and roles are created per workspace.
  • Boards – each workspace will contain 1 or more boards. Boards are used as work item lists. Each board can represent a different project or team.
  • Board Views – each board can be viewed from a different perspective: List, Kanban, Gantt.
  • Rows – each board can have 1 or more rows which are used for item grouping to maintain tidy structure.
  • Items – each row contain items – the most important thing in Teamhood. Items represent work that needs to be done or work information.
  • Statuses – each board can have a unique workflow (todo, doing, done). Workflow is used to track progress of items.
  • Users – invite your colleagues. In Teamhood the main value is digital collaboration. Make sure you assign roles in workspaces so people can get access.
  • Workspace Views – Timeline, Workload, Performance Metrics, Portfolio Overview, Dashboards, Time Sheets.

2. Create your first project and tasks

Import items from other systems

If you already have a task list in some system or file we recommend getting that list exported as Excel (.csv) or MS Project (.xml) format and importing it in Teamhood to the desired board. We recommend adding items that are significant from a value and effort perspective. Things like “Send email to John” can be kept out of the Project task list.

3. Invite your Team

All projects require a team and it is important to add yours to Teamhood. You will be able to assign different workspace roles to the team members, assign tasks to them and collaborate on tasks using comments, task attachments, and more. For now, simply enter their e-mail and name to invite them to your workspace.

4. Learn about different workspace views

  • Timeline – view scheduled items accross all your boards on single calendar. Grouping and filters available.
  • Workload – view estimated and scheduled items accross all your boards per user. Grouping and filters available.
  • Timesheet – view tracked time report on items from all boards. Grouping and filters available.
  • Dashboard – create various widgets to report data in real time. Filters and widget queries available.
  • Portfolio Overview – report progress per board based on budget, earned value (EV) and schedule performance index (CPI).
  • Performance metrics – analyze and measure monthly workflow metrics per team or board. Ideal for Agile or Kanban practitioners.

5. Start working daily with your team via Teamhood

You and your team should establish practices that facilitate the transition to full usage of Teamhood for project and task management.

Things that help

  • Weekly or bi-weekly team meeting – review completed work and plan ahead.
  • Short daily team meeting – talk about progress and issues.
  • All tasks in Teamhood policy – agree to transfer everything from emails, chats, phone calls into the system for transparency and complete picture.
  • Aim for productivity – organize an efficient Teamhood workflow so it takes the least amount of people time to achieve desired success.

  • Majority of your team members use Teamhood to check on what they need to do everyday.
  • Majority of your team members report on task progress via Teamhood everyday.
  • People write comments, attach files and share work information via Teamhood.
  • Team leaders and managers use Teamhood to plan and prioritize work.
  • You cannot start your day without looking at Teamhood 😉

6. Book a free training after the first week

After one week with Teamhood, you should already have a good idea of what can be done with software and you might have in-depth questions which we will gladly answer. We will also consult you on how to best configure Teamhood based on your current and future needs.
