You can group by status, priority, or assignment, but to get the real Kanban to feel, visualizing by status is the way to go.

Monday is a work automation tool that provides a Kanban view as an additional feature. Thus, you should not expect anything more.

However, there are no WIP limits, reports, or swimlanes. What you get is simply the ability to visualize tasks on a board. Monday also has a ton of integrations with different project management, customer service, and emailing tools, including HubSpot. The free plan only allows for 2 users, which seems more like a marketing tactic. Eventually, you’ll likely need to upgrade and pay.

MS Project offers integration with various Microsoft tools like Teams, SharePoint, and Planner, which is beneficial if your organization is already utilizing these platforms.

I’ve noticed that MS Project isn’t primarily focused on collaboration, which might be a limitation for real-time collaboration.

Although MS Project can be integrated with other Microsoft tools, I’ve found that it may not integrate as smoothly with tools outside of the Microsoft ecosystem.

The project offers no additional Kanban features, and the task board can only be modified by adding extra columns. Thus, there is little chance that this software can be used as a dedicated Kanban tool. 

However, if your team is curious and already using Microsoft Project, this is a great way of trying out the framework without any additional investments. Then, you can find better-suited Kanban tools as you decide to move forward with the application.

During my research, I’ve noticed that, for example, Jira tends to be more intricate and biased toward Agile/Scrum methodologies, whereas Wrike offers greater flexibility and can adapt to various project management approaches, including Kanban.

Both Wrike and another company from this list Monday.com, provide Kanban boards within their project management features, but Wrike is often regarded as more centered on Kanban and collaboration tools.

Asana’s intuitive and clean interface stands out, making it a preferred option for non-technical teams. However, due to its robust features, Wrike might be a better fit for larger enterprises and intricate projects.

If you are looking for a more thorough Kanban application, other options from the list may be preferable. 

However, look at Wrike if you are looking for an enterprise-level project management tool with Kanban visualization.

They are configured from columns and WIP limits to give a quick overview and control the workflow. The teams can also measure velocity with the help of cycle time and use additional project management features like reporting and collaboration.

Jira, while a robust Kanban tool tailored for IT organizations, can present challenges for users in diverse fields due to its complexity. 

Some users have reported difficulties in customization, a lack of agility, and performance issues. Exploring alternatives on this list might be more suitable if you seek a tool that seamlessly fits your entire organization. 

I’ve also noticed that Jira leans heavily towards Scrum, making it more intricate, while, for instance with Teamhood you can stay more adaptable since the tool caters to both Scrum and Kanban methodologies with ease.

Jira’s Kanban boards are praised for their ability to oversee the entire software development lifecycle, covering everything from initial planning to bug tracking.

However, if your primary focus is on empowering your IT team, Jira remains a consideration despite its acknowledged downturns.

KanbanTool is a basic Kanban task management tool. It aims to allow you to view their Kanban process on an online board. As such, this board has few additional project management features, but it provides all the basic Kanban features for the teams. 

One of the older generation free kanban tools, it’s kanban board free and straightforward. My only complaint is it’s hard to track changes without logging in. It would also be helpful to set target columns based on due dates and to have the calendar feature open in a separate window.

KanbanTool is useful for building the task board with the help of columns, column groups, and rows. Through tools like the Burndown chart and other reports, your team can leverage essential task management features such as task assignment and additional information. 

Note that tools like Wrike and Jira are known for their scalability, making them suitable for managing larger and more complex projects. KanbanTool may be more suitable for smaller projects.

However, certain limitations in KanbanTool should be considered. While it excels in providing visibility to processes, its dated layout has been noted as a drawback. The tool lacks some advanced features found in other project management tools.

The Kanban tool remains a viable choice if you focus on visualizing your process without needing to manage complex projects.

As such, it offers a variety of Kanban features and the best ways of arranging the software development process. Planview Kanban board is created out of columns, column groups, and rows, making it easy to visualize various processes. 

You can add WIP limits to limit work in progress, while tasks can be estimated in story points or hours. Team velocity metrics help teams keep track of productivity.

Based on my research, Planview offers various views but lacks the extensive options of some competitors like Kanban Zone; additionally, it doesn’t incorporate timeboxing, a fundamental principle in methodologies like Scrum.

Planview aims to combine portfolio and work management into one tool. Thus, the setup and usage of the Kanban are a little confusing. Contrary to other solutions on this list, subtasks are not displayed under or next to their parent item and instead go to a completely different board. 

This is done for easier portfolio management but eliminates the ability to see the full scope of work in one place. Planview does not offer many additional project management features and instead suggests the use of integrations to supplement what is missing.

The platform’s automation and collaboration features are excellent, and I’ve also found the Forms tool really useful. However, a clearer definition of “projects” is needed to organize sheets better. Constantly hiding columns can be annoying, and it’s sometimes hard to differentiate user errors from other issues. 

While the platform is powerful, it might not meet very specific project needs. This will be a good fit if you are looking to add simple task visualization to your project management.

Your team can also use a calendar view for planning and a dashboard to evaluate progress.

I also like that Planner offers different views, including a chart view, a schedule view, and the Kanban board view.

This makes Microsoft Planner a nice option for those needing simple visualization and already subscribed to the Office 365 business plans. It allows you to track simple, straightforward projects with a few colleagues. 

Other options on this list may be preferable if you are looking for a full-on Kanban solution.
